Yorkshire Dance is recruiting for an Administrative Assistant to help with the day to day running of our busy office in Leeds city centre and assist the team with administrative responsibilities as well as carry out reception duties.

Yorkshire Dance champions the value of dance and its development across the region. We provide and support a wide range of opportunities for diverse artists and communities to create and take part in dance. This means every month is different for our team and we need an upbeat team player to help keep things running smoothly.

You will be highly organised and enjoy organising others, be confident using IT, have an equally confident telephone manner and be able to prioritise and manage multiple tasks. Job Description

  • Undertake administrative tasks to support the smooth running of the office
  • Undertake and co-ordinate travel and accommodation bookings for staff and artists, as required.
  • Provide administrative support to key regular programmes (eg. tutor led courses, Saturday Superstars).
  • Deal with general telephone enquiries and provide support to the Facilities team as required.
  • Maintain an efficient office working environment, and manage and procure resources needed for the everyday running of the office.
  • Provide PA duties and administrative support to CEO and Administrative Director, including co-ordination and minuting of meetings as required.
  • Provide administrative support to the Board, including minute-taking at quarterly Board meetings
  • Liaise with the IT support contractors and support staff with routine IT- related queries
  • To be responsible for the storage and retrieval of both current data and archive material in various formats
  • Support the maintenance of a centralised customer database
  • Meeting and greeting visitors to Yorkshire Dance and our tenants
  • Processing event and other bookings via our box office
  • With the Facilities team and other colleagues, support the development and implementation of Yorkshire Dance’s Environmental Action Plan.
  • Provide ad hoc project support as required.
  • Undertake related tasks that may be deemed necessary from time to time.

Job Specification

  • GCSE English and Maths or equivalent.
  • Experience of working in a customer facing environment.
  • Excellent organisational skills with highly developed attention to detail and high levels of accuracy.
  • Ability to deal effectively with multiple workload demands and prioritise tasks appropriately.
  • Highly computer literate and the willingness to learn new computer skills.
  • Adaptable and flexible approach to varying duties.
  • Excellent communication and interpersonal skills, including a helpful and confident telephone manner with initiative to handle enquiries appropriately.
  • Ability to remain calm and effective in a busy and often demanding work environment.
  • Good understanding of, and commitment to, customer care.
  • A positive and creative attitude towards problem-solving.
  • Good interpersonal and team working skills. A professional and friendly manner when dealing with colleagues and the public.
