Job Summary

We are seeking a Publicity Assistant to work in our busy team. You will be responsible for various administrative tasks and need to be flexible when it comes to working outside of regular office hours.


Job Description

Press cuttings:

  • Point person for the cutting agency
  • Responsible for commencing and terminating title cutting contracts
  • Presentation and filing of press cuttings in appropriate press cutting folders

Screenings:

  • Book all national and occasional regional press screenings & be responsible for their PO’s.
  • Book all BAFTA screenings
  • Responsible for arranging and purchasing all refreshments for external screenings
  • Manage stock of food and drink for screenings at eOne offices
  • Ensuring DCP has arrived at venue when covering screenings
  • Signing journalists in at screenings and serving refreshments
  • Responsible for gathering RSVPs and reactions after screenings
  • Responsible for sending out invites to screenings

Responsible for PR materials:

  • Production notes – printing and distribution
  • Update Panther with all new assets (production notes, images, EPK, clips, etc)
  • Update mailing list with help of the runner
  • Responsible for keeping the master grid up to date
  • Update the PR online slate site

Talent:

  • Responsible for booking talent travel & greeters
  • Responsible for booking talent accommodation
  • Responsible for booking junket rooms
  • Responsible for booking talent cars & being the car co-ordinator at events

 Junkets

  • Responsible for ordering mounted quads
  • Ensure posters are delivered to hotels and signed
  • Create junket contact grid
  • Confirm journalist timings/slots
  • Print and distribute production notes for journalist
  • Running the press check-in

 BAFTA:

  • Responsible for BAFTA mail outs, delivery confirmation and post-tracking
  • Submit BAFTA entry forms
  • Responsible for BAFTA screening RSVPs, screening reminders and website updates/materials
  • Responsible for drafting BAFTA campaign emails and invitations
  • Assist with BAFTA Q&As
  • Assist with coordinating BAFTA talent travel, cars, hotels

Job Specification

  • Excellent administrative skills
  • Excellent Word, Excel, PowerPoint & Outlook skills are a must
  • Ability to communicate well and get things done in a pro-active manner
  • Ability to juggle priorities
  • Excellent communication and organisational skills
  • Ability to stay ‘cool’ when the pressure is on
  • Good proofreading skills
  • A love for film is a must
  • Flexibility/willingness to work evenings
